The challenge

An HVAC business does not run on one list. An enquiry becomes a quotation, a quotation becomes a project, and the project moves through survey, design, procurement, installation, testing and handover. After that come service visits, contract renewals and payments.

When each of those steps lives in a different spreadsheet, message thread or notebook, nobody can answer simple questions quickly: which enquiries are waiting for a reply, which quotations are still open, which projects are stuck, and which service visits are overdue.

What we built

We built Remoda CRM as a single web application for the whole business. One dashboard shows clients, open enquiries, pending quotations, active projects, revenue for the month and overdue service visits, and each of those numbers leads into the module behind it.

The menu is organised the way the work flows: CRM and Projects first, then Operations (catalog and inventory, service and maintenance, financial, accounts, compliance and reports), then People (associates) and an HVAC Tools area.

The outcome

The business now works from one shared view instead of several lists. Follow-ups, quotations, project stages, service visits and payments sit in the same system, so the team can see what needs attention today without asking around.

The problem

The CRM module keeps every client and every enquiry together. The dashboard shows how many enquiries are still waiting for a follow-up and how many quotations are drafted or sent, so nothing is left unanswered.

Every project at its real stage.

The problem

A project looks the same from the outside whether it is waiting for a site survey or already being tested.

Projects move through the stages an HVAC job actually has. A status chart on the dashboard shows how many projects are at each stage, so the team can spot where work is piling up.

04 Operations

Stock, service visits and contract renewals.

The problem

Maintenance visits are easy to miss when they are tracked outside the system that holds the contract.

Catalog and inventory keep the equipment and materials list, and Service and Maintenance keeps the visits. The dashboard highlights overdue visits and the contracts that are coming up for renewal, so the service team knows what to do first.

05 Money and records

Revenue, outstanding payments and reports.

The problem

It is hard to run a business when the money side is in a separate file.

Financial and Accounts sit next to the projects they belong to. The dashboard shows revenue for the month, what is still outstanding and a six-month trend of payments collected, and Compliance and Reports gathers the records the business needs to show.

06 People and tools

Associates and HVAC tools.

The problem

Specialist technical work is often done in separate tools and then retyped into quotations.

The system also keeps the people the business works with, and includes an HVAC Tools area for the technical side of the work, next to the project stages that need it, such as heat load calculation.
